FM/RMC workflow under BSNL Salesport application.

The first step for FM/RMC users for using BSNL Salesport is to create users and for the same please follow the steps below :

1. User Creation: There are basically 2 types of users in BSNL Salesport Web and Mobile. We need to create ID and Password for both users. This can be done either one by one or by uploading large data in bulk.
1.1 One by One creation: 
 In your web console, go to the Users module under Identity management then click the + New  Icon to Add a new user.

2. Fill in relevant details of the user: In Basic fill in data for the fields such as First name, Last name, Email ID, Mobile Number, Password, Date of birth, Home address then click on Next and fill Profile fields such as user name, Business Unit, Language, Catagory, Bands, Group, Archive Days and then again click on Next and fill Organisation fields such as Designation, Role, Reporting person, Employe code, Office address then fill the Custom fields(you can skip these fields as they are not mandatory).

3. Finally click on Create to create the new user.

1.2 Bulk upload creation:
1. In your web console, go to the Users module under Identity management . Click on the Three dots icon on the right top corner.

2. Choose Upload Users option to create users in bulk.Download Excel template by clicking on download icon.

3. Fill the details in the template as mandatory fields should be filled. Please confirm if the data should be in correct format. If data is not in desired format the system will give you error when you upload file.

4. Data should be in format for these fields:
    • User_Name -  The username is unique and mandatory field. It cannot be changed once created.
    • Employee_Code - Employee code is mandatory field which cannot be changed afterwards.
    • Password -  Password should in format like Abc@123 (Including One Capital letter, One special character, One number)
    • Reporting_Person -  Usernames of the reporting persons should b entered.
    • User_Group -  In this column user group name should be entered. If its not there then keep this 
    • Archive_Days -  It is mandatory field.
    • Mandatory_Task_Location -  Keep this column blank.
    • Mandatory_Field_Tracking - Keep this column blank.
    • App_Bubbles -  Keep this column blank.
    • Geo_Attendence -  Keep this column blank.
    • Action -  If you are creating new users, type "C" in column. If you are updating the user info, type "U" in column. For delete users in bulk type "D" in column.
      C= Create U=Update  D = deactivate.
    • Note : - Required field data is mandatory, user can not keep it blank.

      5. Enter Batch name or number as it is mandatory.

      6. Now save the file and drop the file on the upload screen.
      7. The file will automatically upload with successful message.

1.3 Editing user's Details : FM/RMC users also can edit user details accordingly by following the link below :
1. In your web console, go to the Users module under Identity management then the Users list will be opened.

2.Click on the user to open and then click on Edit icon to edit.

3.Change details under Basic, Profile, Organization and Custom tabs as per requirements and click on Update.

4. Finally user's details will updated successfully.

1.4 Export Users in Excel: FM/RMC users also can export user data in excel format by following the link below :
1.In your web console, go to the Users module. User list will appear.

2. Go to the Three dots icon which is displayed on the right top corner and choose the "Export Users" option.

3.A file will be downloaded in excel with the user list. In the file, you can view user information with device details and login info.

1.5 User deactivation : User IDs can be deactivated from BSNL Salesport web console. Once user ID is deactivated user can't access the same in Mobile app and we have provide the permissions to the FM/RMC users to Deactivate users however they can not Delete users permanently.

1.Click on 'Users' under Identity Management on BSNL Salesport Home Page.

2.Now you will be able to view list of users. ( You can also Search the user that needs to be deactivated)

3.Click on any user and then Click on Deactivate user Icon , appearing on top right corner.

4.A confirmation popup message appears, click on "Delete" to delete the user ID.

2. Assign/Map User with Activity, Hierarchy and Collection : After user creation FM/RMC will check that if the user has assigned or mapped with any Hierarchy, Collection and activity , If not then please assign the users with Hierarchy, Collection and Activity by following the list below :
> List of the Collection : (which must be assigned to the users):
1.Retailers
2.Materials
> List of the Activity :
1.Order Taking Form
2.Retailer Visit Form
3.Location Capture
4.Retailer Offer
5.Customer Offers
6.On Site Visit Form

2.1 Assign Collections/ Activities- (one by one) :

1.In your web console, go to the Users module

2.The user list will be open and click on the user to assign collection/ activity forms.

3.Click on Collections/ Activities and then click on Edit option.

4.On the right hand side, you can view the list of available collections/ activities to be assigned. (You can also search for the collection by clicking on )

5.Now Drag the collection/ activity form from right to left.

6.Click on Save to save changes.

2.2 Assign Collections/ Activities- ( In bulk) :
1.In your web console, go to the Users module.

2.The user list will appear, and now click on the three dots icon (vertical Ellipses) on the top right corner.

3.Choose the Assign Activities option. Download the template in excel form to map Activity Collection in bulk.

4.The template will have two fields:- Username and Activity Collection Code.

5.Fill the username of the user in the Username field and code of selected Collection/ Activity in the Activity Collection Code field and save it.

6.Now go back to the previous page and drop the data in the Activities upload page .

7.Click on the Upload button to upload the collection in bulk.
8.Finally the Activity /collection will be uploaded successfully in bulk.

2.3 Assign hierarchy- One by One :
1.Click on User to whom you want to assign Hierarchy. (User info page will open).

2.Under OTHERS click on Hierarchy and go to Edit (Pencil Icon) on the right bottom side.

3.Now Hierarchy page will be opened,  drag and drop the territory name which you want to assign to the user from right to left side. (You can also click on search option to search the desire hierarchy)

4.Finally Click on Save button to save this changes.

Assign hierarchy- In bulk : 
1.In your web console, go to the Users module.

2.The user list will be open , now click on the three dots icon (vertical Ellipses) from the right top corner.

3.Choose the  Assign Territories option.

4.Now download the template in excel form. The two fields will be shown in the form , Username and Territory Code.

5.Fill the username of the user to whom territory is going to be assigned in the Username field and code of the selected territory in the Territory field.

6.After adding details in the form ,save it and go back to the previous page and drop the data in the Territory upload page .

7.Click on the Upload button to upload the territory in bulk. Finally the territory will be uploaded successfully in bulk.

3. Add customers data in Retailer Collection :
Retailer data can be uploaded on the BSNL Salesport web portal by the FM/RMC users that can be assigned to the field users. This helps the field user to find the Retailers details for a Retailer visit.
3.1 Add customers one by one:
1.In your web console, go to the Customers under Collections.

2.Collection will open. (Select the Retailers collection from the list)

3.Click on the +NEW icon and then click on ONE BY ONE to add Retailers .

4.Add Retailers details in fields like Name, Mobile Number, Email ID etc. Click on Next after filling the whole fields.

5.Finally click on OK Button and Retailer data will be created.

 

3.2 Add Customers in Bulk :
1.In your web console, go to the Customers under Collections.

2.Select the Retailers collection in which you want to add the data.

3.Click on the +NEW icon and then choose UPLOAD to add customers in bulk.

4.Click on TEMPLATE to download in excel sheet.

5.Enter Customer details in excel template.

6.Drag and Drop excel file or choose file to Upload.

7.Select Skip Validation if you want to avoid any validation of data while uploading excel sheet like validation based.
8.By selecting Assignment Condition, you can assign collection data to specific user based on location/ area or branch. Select the location and then select specific user to assign.
9.Click on UPLOAD. Finally data in EXCEL sheet will be uploaded.

3.3 View and modify Retailers in BSNL Salesport : FM/RMC users can view the assigned and unassigned and edit customers/ contact to users by following these steps:

1.From left Navigation Menu go to Customers under Collections.

2.Click on Retailers Collection from the list you want to view.

3.The Retailers list will appear. Click on any of the Retailer to view full profile.

4.Click on the below tabs for more information: Info( For profile view), Users ( Assigned Users), Feed (Timeline of the customer), Meetings, Reminders, Call and SMS.

5.Click on Edit option indicated by pencil icon on bottom right corner to assign or un-assign the Retailers.

3.4 Assign/Map Retailers to users :  Assign customers one by one to users, please ensure to first upload customers to collection and then follow the steps:

1. Login on web application with your credentials .
2. From Home Screen, Go to Customer under collections .

3. Choose the Retailers collection from the list of collections.

4. Select the Retailer which user want to map it.

5. Once Retailer selected now from right side click on Users tab from right panel.

6. Next, click on Assign button to assign user from Dropdown select respective user.

4.Create & edit beat plan for mobile users : FM/RMC users will create Beat Plan for their Mobile users and assigned routes accordingly by following the steps below :

4.1 Beat Plan Creation :
1.In your web console,  Go to Beat Plan module under Team Management.

2.To create, click on the + New icon to Add new beat plan.

3.Fill information like Name, Description, Start Date, End Date.

4.Choose a Collection (Retailers)to map.

5.Finally click on OK button to create it.

4.2 Edit Beat Plan for users :

1.Click on the relevant beat plan and edit it as per the requirement .

2.Finally click on OK button to update it.

4.3 Assign Beats/ Routes to Users :

1.In your web console, select Calendar and then click on Unplanned.

2. Under Unplanned, choose user to whom you want to assign Beat Plan.

3.After clicking on User , all the Beat Plans under Open and Upcoming tab

4.Click on the Beat Plan that you want to assigned, under Beat Plan all the areas will be available.

5. Drag and Drop the Area on the date on which you want to assign the Beat route.

6.Finally click on Save to assign Beat route to the users.
7.All the customers that will be mapped to that area will be assigned for the date.

5. Create & Edit targets for field users :

1.From BSNL Salesport  home page, go to Admin Settings.

2.Click on Targets under Performance.

3.Click on the + New Target icon to Add new target.

4.Choose TARGET BASED ON (Value/Count/ Activity field). Value based targets includes sales, quantity or products. Count based targets include the number of orders booked. Activity field based on tasks account and any field interface in the activity form.

5.Give any name to target. Add description.

6.Now select State ( these are the sub type of targets- Value, Count, Activity field)

7.Choose Activity Form and Collection (in case of targets based on products).

8.Finally, SUBMIT to create a target.

5.1 How to set Targets for Team : After creating TARGETs, a web user will create GOAL>OCCURRENCE  by following the steps below :

1.Now go to the Navigation menu and select Goals module.

2.Click on Occurrence tab.

NOTE > Occurrence will be creating for specific time period of goal which is essential to create before going to create goal.

3.Click on + icon to add a new occurrence

4.Enter Occurrence name and Time Period

5.Set Frequency and then add Start Date and End Date

6.Click SUBMIT and new occurrence will be created.

7.Now click on GOAL tab and then click on the + NEW GOAL to Add new scheme

8.Fill the Name and Description and then select Target type , Target on, Activity, Occurrence from the given dropdowns.

9.Click on Select Hierarchy and pick a level ,sub level and territory from the dropdowns.

10.Goal will be create after occurrence because without occurrence( Time period) it is not possible to achieve goal.
11.Now click on select and the create goal page will be open, user can change hierarchy by clicking on change hierarchy button.
12.Click on Next and the template for target will be downloaded into excel format.



6.1 View & download Beat Plan reports in BSNL Salesport web :
View &  Beat Plan Output reports: 
1.From web console, go to Analysis and choose Beat Plan reports

2.Under BEAT PLAN REPORT tab Choose  the report you want to view.

3.Click on View or Download
(You can either view the report first and download it or you can directly download it by clicking on Download)

6. Click on the Cloud Icon to export Reports into excel format.
